Hosting an Event

Alumni and parents often ask about organizing HWS events locally—and we love hearing about them! Whether you're planning a small welcome for new students, a game-day viewing party, or a holiday get-together, let us know. We can send HWS swag (pennants, balloons, cups, napkins) to help set the scene and capture great photos. 

Who to Invite? 

Your guest list can be as small as a few HWS friends or as broad as all alumni and parents in your area. You can tailor it to specific class years or keep it open. 

Where to Host? 

Events can happen anywhere — homes, restaurants, clubs, museums. If there are costs involved (food, drinks, tickets), it should be a “pay as you go” setup. While AAR can help promote your event, we don’t have a budget to cover expenses for Host Your Own Events. 

Planning Tips

Plan ahead to secure your venue and give guests plenty of notice. Check the HWS website for other events in your area and be mindful of holidays and school breaks.

Alumni Day of Service

Identify an organization in need.

  • Work with organization to determine their capacity for hosting.
  • Work with organization for the best date/time to volunteer.
  • Complete the Host Your Own Day of Service form.

We will set up an invitation for you to be sent to alumni within a 60-mile radius of your location. Folks will reply to you to RSVP.

  • Serve wearing your HWS gear!
  • Send pictures and the list of your attendees to alumrelations@hws.edu!
  • Send a thank you to your host location with some photos!

Ready to Get Started?

Submit the online form with your event idea, guest list, and estimated attendance. An AAR staff member will follow up to walk you through the process, help with planning and promotion, or just send some HWS swag.

Send us your attendee list and any great photos with captions to alumrelations@hws.edu. We can also provide notecards if you'd like to follow up with your guests.
