Eight (8) students will be selected to serve as Reunion Red Shirt Leaders and another 15-20 students will be selected to serve as General Red Shirts. Responsibilities and expectations for the positions will be detailed below.

Reunion Weekend Goals
Reunion Weekend is designed to welcome and introduce all alumni and alumnae attendees (and their families) to being re-engaged with Hobart and William Smith Colleges. At the end weekend, alumni and alumnae should:

  • Be ready and eager to support the colleges by way of offering their time, talent or treasure.
  • Have a clear understanding of academic and social standards for excellence at HWS.
  • Develop meaningful connections with fellow HWS community members ?? especially with our Red Shirts and the faculty and staff in attendance.
  • Be familiar with the full range and scope of HWS campus life.

Reunion Red Shirts Team Goals

Students selected as a Reunion Red Shirt are expected to work over the Reunion Week to prep|set-up|cleanup, engage with alums, support event programs and share their HWS experience. In addition, as a member of the Reunion Team, we expect that you will:


  • Show a clear understanding of and appreciation of the HWS mission and core values.
  • Work diligently to realize the Reunion Red Shirt Team vision and goals for a terrific Reunion Weekend for our alumni/ae.
  • Pursue shared solutions to challenges that come up throughout the weekend.


  • Empower other Red Shirts to reach their full potential throughout the weekend.
  • Improve your ability to inspire a shared love of the colleges and motivate alumni/ae to achieve the same belief.
  • Better understand yourself as a leader - core values, strengths, while understanding weakness and communication style.
  • Support a multitude of programs and events throughout the Weekend.


  • At all times conduct yourself with the standard of honesty and integrity.
  • Reliably communicate accurate information; when in doubt, always ask.
  • Dry Weekend - zero intolerance, code of conduct enforced.


  • Never judge one another.
  • Seek first to understand one another regardless of differences

Reunion Red Shirt Leader Job Tasks*

If interested in applying for a Red Shirt Leader position, please choose to interview for one of the following positions on your application. Note that you must be available to work between Commencement Weekend and the start of Reunion Week (May 15 through May 28). Housing will be provided for you.

Registration Central (1 staff to be hired) - setup of basement production area, work with Alumni/ae Relations administrative staff on packet production, set-up of headquarters, and manage training and orientation of student staff at registration.

Red Shirt Schedule Management (1 staff to be hired) - staffing chart creation, individual scheduled creations, orientation | training meetings organization, management of Red Shirts schedule during the weekend.

Social Media | HWS Spirit & Heritage (2 staff to be hired) - create marketing on each of the FB pages 6 weeks leading up to Reunion Weekend, create social media campaign during the Weekend, help with Snapchat, IG and FB pages with Communications; campus decor, balloon brigade, decor for luncheon and dinner, dorm decor.

Set-up and Logistics (2 staff to be hired) - Lobby area, Signage, scheduling and assisting with event turnovers, work with shuttle leaders, develop golf cart and shuttle schedule with golf cart/shuttle leadership.

Golf Cart and Shuttle Management (2 staff to be hired) - Staff Training and Accountability, Signage, Daily Location Management, Gas/ Maintenance.

Leader and General Reunion Red Shirt Responsibilities

Regardless of your choice to apply for a Leader or a General position, your assigned responsibilities as a Reunion Red Shirt are expected to be:

  • Attend all assigned events on your schedule through the weekend and all of its activities
  • Arrive on time and actively participate in all Reunion Weekend planning meetings, training sessions and your weekend assigned duties
  • Serve as a role model for all Reunion Red Shirts
  • Assist teammates and administrative staff with all duties assigned
  • Serve as a role model in terms of academic, social and ethical behavior
  • Ensure all alumni/ae receive accurate information throughout the weekend

Special Skills / Requirements Needed:

The Qualifications for being a Reunion Red Shirts include:

  • 2.5 cumulative GPA or better and to be in good academic and social standing
  • Strong record of reliability, honesty and trust
  • Campus leadership, student work|research|other campus experience preferred
  • Knowledge of and commitment to Reunion programming
  • Positive attitude and demonstrated ability to motivate others
  • Strong interpersonal and communication skills
  • Ability to work effectively with diverse team members, including students and administrators
  • Demonstrate flexibility, responsibility, and willingness to assist others during an intense weekend

Term and Conditions of Employment for the Reunion Red Shirt Team

  • Both Leaders and General Reunion Red Shirts may not be involved in early summer commitments that conflict with prior set-up (Leaders) or Reunion Weekend (all) (i.e. travel abroad programs, other work commitments).
  • Leaders must be available May 15 through June 4, 2018.
  • Participate in all Reunion staff training and the entire Reunion Weekend:
    • Reunion Orientation: Sunday, April 15, 2018 from 11 a.m. - 2 p.m.
    • Reunion Training and Weekend set-up: Tuesday, May 29 - Thursday, May 31, 2018
    • Reunion Weekend: Thursday, May 31 - Sunday, June 3, 2018
    • Reunion Debrief: Sunday, June 3, 2018 from Noon - 3 p.m.

Interviews will be scheduled for Leader positions on January 24 and 25, 2018 and for General Red Shirt positions on January 26 and 27, 2018. Applications are due on December 8, 2017 via Interfolio.com. You must also have at least one faculty or staff member complete the online recommendation form. Step 2:
