Summer Housing Requests and Temporary Housing Requests

Summer Housing

Summer Housing begins on Friday, May 24 and ends on Sunday, August 4. Summer Housing rate: $90.15 per week.

How to Request Summer Housing

A departmental contact must complete and submit the summer housing request worksheet to Erica Connor at econnor@hws.edu. Submission deadline is May 3.

Definition of a Departmental Contact: A departmental contact is the faculty/staff member that oversees or will be supervising you based on the reason for your temporary/summer housing stay.

Information for the departmental contact:
To request a housing worksheet, please contact Erica Connor at econnor@hws.edu
If your department is arranging to provide summer housing to student employees, this is considered taxable compensation. A benefit will be added to the student paycheck so that the appropriate payroll taxes can be withheld. This may be spread over multiple pay periods depending on the length of the stay. If you have any questions regarding the taxable housing benefit, please contact Sara Day at day@hws.edu or ext. 3342.

If housing is required prior to Friday, May 24 then Temporary Housing must be requested along with Summer Housing to ensure a smooth transition from school year housing to summer housing.

Temporary Housing

There are two options for Temporary Housing Requests:

  • Temporary housing for Senior Week / Commencement Weekend (May 14 - May 20)
  • Temporary housing for School Year Housing to Summer Housing (May 14 - May 25)

For a seamless request for temporary housing, please state the correct temporary housing option in your correspondence when requesting temporary housing for the student.

Students may be required to move from current spring residence into a different temporary housing location. An approval for a temporary housing stay is an approval for the student to reside in a room on campus. The approval does not guarantee the student will continue to reside in the student’s current spring residence.

Temporary housing for Senior Week/Commencement Weekend
Temporary housing for Senior Week/Commencement Weekend is for the housing period between 12:00 pm on Tuesday, May 14 through 12:00 pm on Monday, May 20.

Temporary housing for School Year Housing to Summer Housing
Temporary housing for school year housing to summer housing is for the housing period between 12:00 pm on Tuesday, May 14 through 9:00 am on Saturday, May 25, and is a bridge between current spring residence housing and summer housing assignments.

How to Request Temporary Housing

A departmental contact must complete the temporary housing request worksheet and return the completed worksheet no later than May 3 to Erica Connor via econnor@hws.edu.

Departmental contacts with students in need of remaining on campus during the temporary housing period should e-mail Erica Connor at econnor@hws.edu to obtain the required temporary housing request worksheet. A departmental contact must complete the request worksheet and return the completed worksheet no later than May 3.

Maymester - HWS matriculated students will register through their HWS PeopleSoft account. Non-matriculated students should fill out a non-matriculated student application form and send it to Provost and Dean of Faculty DeWayne Lucas at lucas@hws.edu. Registration period ends May 3.

Students working/volunteering with a department/office during senior week/commencement weekend, please coordinate a temporary stay request with the departmental contact you will be working with over senior week/commencement weekend. If you are planning to remain on campus beyond commencement weekend for summer research/work/internship, please be sure to communicate this information to your departmental contact as commencement weekend temporary stay ends at noon on Monday, May 20.

Students in need of temporary housing for extenuating circumstances must contact Residential Education via email at resed@hws.edu by May 3 to coordinate a request for temporary housing. Please note, this is for students not working/volunteering over senior week/commencement weekend and/or not participating in research/work/internship over the summer. Requests will be reviewed on a case-by-case basis.

Spring semester postseason athlete - your coach will provide the temporary housing request worksheet to the Conferences and Events Office. Please connect with your coach directly if you have questions regarding postseason temporary housing or if you are need of remaining on campus beyond the last date of postseason.

International Students in need of remaining on campus beyond May 14, please contact David Gage at gage@hws.edu by April 26.

Seniors and RAs - the Residential Education Office has provided the Conferences and Events Office with the temporary housing request worksheet for seniors to remain on campus through noon on Monday, May 20 and RAs to remain on campus through 2 pm on Monday, May 20. If you need to remain in on-campus housing beyond noon on Monday, May 20, please connect in with Residential Education about the change in your departure date.

Meals

Meal options for last day of semester (May 14)
Spring Semester Meal Plan ends on Tuesday, May 14 at 1:30 pm (after lunch).
Saga will be open for dinner from 5:00 pm to 5:30 pm on Tuesday, May 14.

Meal options during Senior Week (May 15 - May 19)
Au Bon Pain (ABP) will be open: Wednesday, May 15 - Sunday, May 19, 7 am to 4 pm

Campus departments/offices looking to provide meals for student staff/student volunteers remaining on campus during senior week/commencement weekend do have the option to request a charge slip with a set per meal dollar amount for Au Bon Pain (ABP).

To secure meal options during senior week, please e-mail the following to econnor@hws.edu:

  • Department name and department contact
  • 17-digit account number for the charge slip (Acct.-Fund-Dept.-Program-Ref)
  • Complete student roster
  • Dates the department will be providing meals at ABP for the students
  • Number of meals per day within the dates
  • Set dollar amount per meal

Please note: Senior Events are by invitation only. Saga Dining will not be open during senior week. Catering is available through Catertrax.

Summer Meals

Saga dining hours do vary during the summer months. Summer dining hours will be posted in Saga.

The first summer meal is breakfast on Wednesday, May 22 for Maymester students.
Any student is welcome to eat meals at Saga beginning on May 22 by paying cash, credit card or community cash via OneCard at the Saga concierge desk.

For meals on May 20 and May 21, prior to start of summer meal schedule, there is the option to order a boxed lunch for $8.50 by e-mailing the order to Mark McKibbin at mckibbinm@hws.edu. Please stop by the Saga concierge desk between 12-12:30 pm to pick up the boxed lunch. Payable by cash, credit card or community cash via OneCard at the Saga concierge desk at time of pick-up.

Maymester students and Summer Session students have the option to purchase a meal plan when registering for Maymester and/or Summer Session courses.

Please note: Maymester housing does not have a kitchen in the residence. Summer session housing will have a kitchen in the residence.

Residence Key Pick-up and Drop-off

  • Current spring residence keys should be dropped off with Residential Education Office
  • Temporary Housing key pick-up and drop off at Conferences and Events Office, 678 S. Main Street, during regular business hours, Monday- Friday, 9 am to 4 pm, and at Campus Safety Office during weekends and afterhours.

Storage

To ensure residential spaces are properly prepared for summer, storage of items in residential properties is not permitted, including leaving items with another student to store over the summer. Please arrange for off-campus storage. A listing of local storage facilities has been provided for convenience, and is not to be considered an endorsement by the Colleges. Use of any private storage facility is a private transaction between the student and the storage company. The storage agreement and payment are the responsibility of the student.

If you have received approval to remain on campus during the temporary housing period, please understand permission has been granted to stay in your assigned room, and only your assigned room. Permission has not been granted for you to leave items in common room areas. Common room areas are any areas outside of your assigned room. Such examples include, but not limited to, hallways, kitchens, bathrooms, porches, and living rooms. Please secure all your items in your assigned room. We are not responsible for items left in the common room areas during the temporary stay/extended stay period.

Air Conditioner Procedure (summer months)

  • Purchase your own AC unit
    • The AC unit must be UL listed for fire safety purposes.
    • If not UL listed, it will not be installed.
  • Work with B&G directly to have the unit installed.
  • You cannot install your own AC unit. B&G must install the AC unit.

During the academic year, you must have a housing accommodation for an AC unit, for the summer, you may have an air conditioner.

Transportation option through Conferences Events Office

To help students with temporary/summer housing move, there is an on-campus transportation option. Sign-up is first-come, first-serve, in 45-minute intervals. Deadline is Friday, May 10.

A sign-up sheet is available at the Conferences and Events Office, 678 South Main Street.

Students are required to have room fully packed and curbside ready to go by designated time. If a student is not fully packed and curbside, the driver will not wait, as other students are depending upon the transportation to move to temporary housing or summer housing. Please note: the driver’s responsibility is to drive the vehicle, not to load/unload items. Please plan ahead.
