Annual Giving Assistant

SUMMARY:

As an integral member of the Advancement staff, the Annual Giving Assistant serves as the primary support specialist for the Office of Annual Giving. S/he works collaboratively with all members of the Annual Giving and Alumni and Alumnae Relations staff to execute a comprehensive public relations, marketing and communications program aimed at securing Annual Fund contributions from Hobart and William Smith constituents.

RESPONSIBILITIES:

  • Oversee and handle sensitive personal and financial constituent information.
  • Interact directly with leadership donors, and key alumni and alumnae volunteers.
  • Coordinate and execute direct-mail solicitations to alumni, alumnae and parents.
  • Manage data and generate timely, accurate reports and analysis using the Raiser's Edge database.
  • Produce regular internal benchmarking reports for the Office of Annual Giving.
  • Work with On-Line Community personnel to coordinate electronic communications to alumni, alumnae and parents and the affinities that fall within these groups.
  • Provide telephone support for the Office of Annual Giving.
  • Research and respond to specific donor inquiries in an appropriate timeframe ('customer service').
  • Work collaboratively with other campus departments and divisions to assist in executing events. Departments may include: the President's Office, Buildings and Grounds, Dining Services, and the Division of Student Affairs.
  • Work with the Associate Director for Affinity Programs to support affinity initiatives, including meeting organization, solicitation support and event coordination.
  • Audit and manage departmental budgets for the Office of Annual Giving.
  • Provide daily administrative support for staff members in the Office of Annual Giving.
  • Supervise student workers.
  • Greet and assist visitors to the Office of Advancement.

QUALIFICATIONS:

  • Associate's degree and at least two years of related experience as an administrative assistant. Bachelor's degree preferred.
  • Has discretion and excellent written, oral, and listening communications skills in order to communicate effectively with internal and external audiences.
  • Has the ability to make autonomous, sound decisions.
  • Thrives in a fast-paced environment, able to establish priorities and meet deadlines.
  • Possesses refined social skills, approachability, and the ability to represent the Colleges at events.
  • Has an advanced working knowledge of Microsoft Office (Word, Excel, Outlook) and an aptitude for learning new technology as well as a working knowledge of the internet and how to optimize its use. Knowledge of Raiser's Edge development software desirable.

OTHER INFORMATION:

This is a full-time, 12-month, benefits-eligible administrative non-exempt position. Normal campus office hours of work are 8:30 a.m. to 5:00 p.m. during the academic year with a possible shortened workweek during the scheduled summer hours. Some evening and weekend work will be required. This position description is not all-inclusive, as other tasks or responsibilities may be assigned.
