Service Catalog: Public Folder Access

Summary (what you get):

A public folder is a shared folder which can be accessed through Outlook or Entourage in which to collaborate and store e-mail, contacts, calendars, and tasks. It can be restricted to a limited set of users or available to the entire HWS community. It may be assigned an e-mail address so that messages to that address are delivered to the public folder.

When Customer Receives It:

A public folder can be requested at any time from the Help Desk by submitting a service request. A request is typically completed within 1 week depending on the nature of the public folder.

Related Information:

A public folder is one solution to solve the need for a generic e-mail address to be distributed amongst a team, but not assigned to a specific person. Information may be shared amongst a group in other ways as well. See also: Listserv List, E-mail Distribution List, and New User Account.

Where/how to request this service:

Submit a request through the Help Desk. Please include the following information in your request:

  • The Name of the folder
  • The owner of the public folder
  • If the Folder should be e-mail enabled, and if so, the desired e-mail address
  • A list of users who should have access, and whether this access should be limited to read-only access, or should include folder content modification privileges
  • Expiration date of the public folder (if applicable).

When your service request is received and processed, a member of the IT Services staff will contact you.
